Turning Enquiries Into Confirmed Bookings

How to get more bookings for school groupsA listing that gets views but few bookings is usually losing people somewhere between the enquiry and the confirmation, not at the listing itself. A few practical habits make a real difference here.

Reply Fast, Even Briefly

Teachers are usually juggling several providers and a school calendar with limited flexibility: the first provider to reply with useful information often has a real advantage, even if your full quote takes longer to put together. A same-day acknowledgement (“got your enquiry, I’ll have a full answer for you by tomorrow”) holds your place far better than a thorough reply three days later.

Answer the Real Questions Up Front

Teachers researching your listing have usually already read our guidance on what to ask a provider: qualifications, ratios, weather policy, what’s included, emergency procedures (see our companion piece, What Schools Ask Before Booking You). Answering two or three of these directly in your first reply, before they have to ask, shortens the whole process and signals that you understand what schools need to know.

Make the Logistics Easy to Say Yes To

Be specific and early about group size limits, exact pricing (including any bus/transport add-ons), what a typical timetable looks like, and how far in advance you need final numbers. Ambiguity here is one of the most common reasons a promising enquiry stalls: a teacher often needs concrete figures to take to their principal or board before they can confirm anything.

Put a Date on the Next Step

End your reply with a clear next action and a date (“let me know by [date] if you’d like to lock in this slot”) rather than leaving it open-ended. School terms move fast and a vague “let me know if you’re interested” is easy to lose in a busy inbox.

Follow Up Once

If you haven’t heard back within a week or two, a short, friendly check-in is worth sending: many bookings are decided at a staff meeting or board level that takes longer than a single email exchange. One follow-up is normal and appreciated; more than that can feel like pressure.

After the Booking

A confirmed booking is also the start of your next review: see How to Get Good Reviews for when and how to ask, and How to Make Your Listing Strong for keeping your listing itself in good shape between bookings.
